Most businesses we speak to already track their customers. It lives in a notebook, a spreadsheet, or a WhatsApp group. The list is not the problem. The problem is that a list does not do anything on its own.
What you need before anything else
Two pieces of information per customer make a follow-up system possible:
- How to reach them, which is almost always a phone number.
- When they are next due, which you already know even if it is only in your head.
Anything beyond that is a bonus. If you have been keeping notes in a column called "last visit", you have the second one already.
The import takes minutes
A CSV or an Excel sheet with names and numbers is enough. The dates do not need to be perfectly formatted, and you can fill them in later as you go. Waiting for clean data is the most common reason a system never gets started.
Set the rhythm once
Decide the interval that fits what you sell. Weekly for a salon, monthly for a membership, twice a month for deliveries. This is one decision, made once, that then applies to every customer on the list.
From that point the system knows who is coming due without you checking anything.
Send your first campaign to five people
Before you message everyone, send to five customers you know well. You will immediately notice a word that reads oddly, a date that is wrong, or a price that changed last month. Fix those, then widen the circle.
This is also the moment to make sure your sender ID is registered, because that is the one step with a waiting period attached.
Then let it run
The weekly habit you are replacing is opening the sheet and thinking "who should I contact". Once the dates are held by the system, that thought stops occurring to you, which is the entire point.
You still decide what to say. You no longer decide who to say it to, or when.
